Job Description:
You’ll become the administrative backbone of a growing engineering consultancy, taking ownership of critical business operations that enable the technical team to focus on their core work. This role offers the rare opportunity to grow with a business from the ground up, scaling your responsibilities and hours as the company expands. You’ll handle everything from financial management to document preparation, making a direct impact on business efficiency and client satisfaction.
Responsibilities:
- Manage comprehensive bookkeeping operations using Xero accounting software
- Handle accounts receivable including invoice generation and follow-up communications
- Transition projects seamlessly from tender stage to active project status
- Update and maintain company policies and operational procedures
- Prepare and compile engineering reports for client delivery, including PDF formatting
- Conduct final quality reviews of technical documents and attach supporting appendices
- Coordinate project documentation workflows using Microsoft SharePoint
- Provide general administrative support and office management
- Utilize AI tools to enhance document review and preparation processes
- Manage client communications and potentially handle phone-based invoice follow-ups
Requirements:
- Exceptional English proficiency (written and verbal) - this is non-negotiable
- 2-5 years of administrative or bookkeeping experience
- Strong proficiency with Xero accounting software
- Advanced skills in Microsoft Office suite, particularly SharePoint
- Meticulous attention to detail for document review and quality control
- Proven ability to work independently in a remote environment
- Bonus if you have experience with engineering or technical document preparation
- It helps if you’re comfortable with AI tools for document enhancement
