Role Summary:
We are seeking a high-caliber Executive Operations & Legal Support Manager with a paralegal background to act as a trusted right hand to a serial entrepreneur operating five active businesses. This is a remote position supporting fast-moving, real-world decisions across real estate, legal matters, and operations.
This role is ideal for someone who thinks like an operator, understands U.S. law (especially real estate and foreclosure processes), and can turn complexity into clear, concise executive insight. You will not just manage tasks — you will help run the machine.
What You’ll Do:
Founder & Executive Support
• Manage and prioritize executive email across multiple businesses
• Draft, edit, and respond to professional correspondence on legal, real estate, and operational matters
• Identify urgent issues vs. non-critical noise and escalate appropriately
• Coordinate meetings, agendas, follow-ups, and decision tracking
• Attend virtual meetings, capture key points, and deliver clear executive summaries with action items
• Produce structured weekly and monthly reports that help the founder make fast, informed decisions
Legal & Paralegal Responsibilities
• Provide high-level legal support (non-attorney) related to:
• Real estate transactions
• Foreclosure (judicial and non-judicial familiarity preferred)
• Contracts, notices, and demand letters
• Review legal correspondence and documents for accuracy, deadlines, and risk indicators
• Organize and maintain legal files, timelines, and compliance tracking
• Interface with attorneys, lenders, escrow/title officers, and government agencies
• Translate legal language into plain-English summaries with recommended next steps
Real Estate & Business Operations
• Support real estate matters across multiple properties and jurisdictions
• Track deadlines, filings, payments, and key milestones
• Assist in due diligence, document coordination, and transaction support
• Identify inefficiencies across businesses and propose better systems and workflows
• Follow up on action items across teams to ensure execution
Required Qualifications:
• Paralegal background or equivalent legal experience
• Strong understanding of U.S. law, with emphasis on real estate and foreclosure processes
• Proficient in both written and spoken English (required)
• Exceptional writing skills — clear, concise, professional, and executive-level
• Strong verbal communication skills for calls, meetings, and attorney interaction
• Proven ability to summarize complex information accurately
• Highly organized, detail-oriented, and deadline-driven
• Absolute discretion and professionalism
Preferred Experience:
• Supporting entrepreneurs, founders, or executives with multiple businesses
• Real estate law, foreclosure, escrow, or title experience
• Experience coordinating with U.S. attorneys and courts
• Remote work experience with strong self-management
• Familiarity with Google Workspace, Microsoft Office, and project management tools
