Property Management Administrative Assistant - Finance Background

Overview

We are seeking an Administrative Assistant to support a growing short-term rental property management company. This role provides operational support across multiple properties, including vendor coordination, financial tracking, and market research. You’ll help ensure smooth day-to-day operations while contributing to the company’s expansion into new markets. This position offers variety, autonomy, and the opportunity to grow with a dynamic, scaling business.


Job Highlights

Number of Paid Hours Per Week: 20 hours
Schedule: Monday to Friday, 10:00 AM – 2:00 PM Pacific
Work Arrangement: Work from home
Contract: Independent Contractor

Side Note:
Since this is a permanent work-from-home position and the arrangement is that of an Independent Contractor, the selected candidate must have their own computer and internet connection. They will handle their own benefits and taxes. Professional fees are on hourly rates and depend on your performance in the application process.


Responsibilities

  • Coordinate day-to-day operations and communicate with vendors across the property ecosystem

  • Complete online forms, including county tax reporting and regulatory requirements, with accuracy

  • Track property expenses and monitor Airbnb revenue streams for accurate financial reporting

  • Create monthly financial reports for property owners using Excel spreadsheets and data analysis

  • Develop operational content, including property guidebooks and team instruction materials

  • Research potential properties on platforms like Zillow and Hotpads to support portfolio growth

  • Flag high-potential properties and conduct templated outreach via email and website forms

  • Handle phone communications with vendors and coordinate between team members

  • Maintain accurate records and perform data entry tasks to keep operations running smoothly

  • Support business expansion initiatives through market research and lead identification


Requirements

  • Basic financial understanding and comfort working with numbers (full bookkeeping experience not required)

  • Proficiency in Excel for creating spreadsheets, tracking expenses, and generating reports

  • Strong data entry skills with exceptional attention to detail and accuracy

  • Excellent communication skills for vendor interactions and team coordination

  • Ability to learn company-specific processes quickly and work independently in a remote environment

  • Bonus: Spanish language skills
