Travel & Logistics Coordinator

Schedule:

  • Mondays to Fridays, starting at 9:00 am
  • 5 hours per weekday
  • Client time zone: Australian Eastern Time (Brisbane, AU)

 

Scope:

  • Reports to the Senior Operations Manager

 

Role Overview:

The Travel & Logistics Coordinator will support the group’s travel logistics by managing staff travel bookings and ensuring smooth coordination of flights, accommodation, and ground transport. This role operates independently within established SOPs and under the guidance of the Senior Operations Manager. No previous travel industry experience is required; the role is well-suited to someone with strong administrative and organisational skills.

 

Key Responsibilities:

  • Book staff travel, including commercial flights, hotels, and hire cars, using the central booking tool or alternative booking methods when required.

  • Communicate with internal and external stakeholders regarding travel arrangements, confirmations, and itinerary changes.

  • Respond promptly and effectively to changes in travel plans, including cancellations, delays, and other travel-related issues.

  • Follow standard operating procedures (SOPs) to ensure accurate and compliant bookings.

  • Assist with other client-related tasks from time to time as directed by the Senior Operations Manager.

  • Perform other ad-hoc logistics and travel-related tasks as required.

 

Key Requirements:

  • Highly organised, proactive, and detail-oriented.

  • Strong administrative and communication skills.

  • Ability to work independently while adhering to established SOPs.

  • Comfortable handling changing priorities and resolving issues quickly.

  • Previous travel coordination experience is not required; experience in administrative or client support roles is advantageous.

  • Availability to work weekday business hours aligned with Brisbane time (no weekends).
