Executive Assistant (Hospitality Operations)

Schedule: Monday–Friday, 9:00 AM – 6:00 PM (Melbourne time)
Total Weekly Hours: 40 hours
 
Join a dynamic restaurant group operating three successful locations and actively expanding through franchising. The business is embarking on an exciting digital transformation, transitioning from traditional, analog operations to modern, AI-powered systems and streamlined processes.
 
This role offers a unique opportunity to support day-to-day operations while contributing to marketing, technology adoption, and franchise growth initiatives. You’ll work closely with the leadership team and play a key role in shaping scalable systems that support continued expansion.
 
 
Responsibilities
  • Manage email communications, calendar scheduling, and travel arrangements across multiple restaurant locations.

  • Execute targeted lead generation campaigns by reaching out to local businesses for catering services and new menu offerings.

  • Create compelling marketing materials, including posters and promotional content, using design tools such as Canva or similar platforms.

  • Support AI system implementation and help digitize existing analog processes across restaurant operations.

  • Assist with franchise expansion initiatives and the rollout of new operational systems.

  • Document meeting minutes and support menu development and operational planning.

  • Handle supplier communications and coordinate with vendors (approximately 10 calls per week).

  • Provide administrative support for multi-location restaurant management and strategic growth initiatives.

 
 
Requirements
  • Full-time availability with flexibility to work Australian business hours.
  • Proficiency in Canva, Photoshop, or similar design tools for creating marketing materials.
  • Strong written communication skills for professional email management and lead generation outreach.
  • Tech-savvy mindset with experience or genuine interest in AI tools and digital process implementation.
  • At least 3 years of administrative or executive assistant experience preferred.
 
Bonus Skills:
  • Experience in the restaurant, hospitality, or food service industries.

  • Natural curiosity and enthusiasm for learning new technologies in a fast-growing business.

  • Experience supporting franchise operations or multi-location businesses.
