Job Overview
This role serves as the primary administrative backbone for a property management company, working directly with the on-ground Property Manager to streamline operations and handle essential field-support tasks remotely.
Scope:
- Position supporting a property management company
- Monday to Friday from 9 AM to 6 PM CST with 1 hour unpaid lunch break
- Remote work arrangement as a virtual assistant
- Direct collaboration with on-ground property manager
- Handling administrative tasks to free up field team for physical property work
- Managing communications across English and Spanish-speaking stakeholders
- System-based work including data entry and utility management
Responsibilities:
- Follow up with vendors and contractors, many of whom speak Spanish
- Communicate with tenants, including Spanish-speaking residents
- Enter bills and invoices into the property management system
- Handle utility setup and management for different properties
- Perform various administrative tasks to support the on-ground property manager
- Manage system-side operations and data entry
- Support general property management administrative functions
Requirements:

Fluent in both English and Spanish (Bilingual communication is essential for vendor and tenant interactions).

Property Management & Maintenance Expertise: At least 3+ years of experience specifically handling maintenance coordination, work orders, and vendor lifecycles.

Utility Management Mastery: Proven experience in auditing utility bills, handling transfers/setups, and resolving billing discrepancies with service providers.

Proficiency in Spreadsheets: Strong skills in Excel or Google Sheets for maintaining trackers, expense reports, and the required Daily Reports.

Proactive & Solution-Oriented: Ability to anticipate issues and solve problems independently before escalating them to the Property Manager.

High-Volume Multitasking: Capable of juggling multiple priorities (e.g., data entry, incoming calls, and urgent maintenance tickets) without sacrificing accuracy and quality.

System Savvy: Comfortable working with property management software (e.g., AppFolio, Buildium, Yardi) and CRM tools.

Previous Virtual Assistant experience is preferred.

Reliable Home Office Setup: Must possess verified backup power (UPS/Generator) and a secondary internet connection.
