Accounting Operations Assistant – Xero & Admin Support

Schedule:

  • Mondays to Fridays, flexible within Australian business hours (8:00 am to 5:00 pm)
  • 35 hours per week, 7 hours per day
  • Long-term, rolling monthly engagement

 

Role Overview

We are looking for a highly organised Finance Administrative Assistant who is comfortable working in Xero as part of day-to-day admin support for an Australian business owner.

This is not a senior accounting role. The focus is on strong administration, schedule management, and financial admin support, with Xero used as a working tool to prepare accurate drafts for review.

The ideal candidate has supported busy operations or teams, manages recurring tasks confidently, and can keep both schedules and financial records in order without constant follow-up.

Key Responsibilities

Administrative & Operational Support

  • Managing and coordinating busy calendars and schedules
  • Organising rosters, timelines, and recurring operational tasks
  • Supporting day-to-day admin across one or more small entities
  • Maintaining organised records, trackers, and documentation
  • Acting as a reliable point of coordination for routine tasks

Xero & Financial Admin Support

  • Performing bank reconciliations in Xero
  • Drafting payruns, invoices, and BAS for client review
  • Ensuring transactions are correctly coded and GST is applied
  • Identifying and flagging discrepancies or missing information
  • Keeping Xero files clean, accurate, and up to date

All financial work is prepared for review. Final decisions and submissions remain with the client.

Required Skills & Experience

  • Practical, hands-on experience using Xero
  • Experience with bank reconciliations and financial administration
  • Strong organisational and scheduling skills
  • Proven ability to manage busy workloads or team schedules
  • High attention to detail and consistency
  • Confident working independently and following established processes
