Job Description:
Step into a role where you’ll serve as the strategic right-hand to a successful multi-business owner who needs a trusted partner, not just task support. You’ll become their “second brain”—someone who thinks ahead, catches what others miss, and seamlessly integrates with existing teams. Responsibilities:
- Serve as strategic liaison between leadership, team members, and external clients across multiple business ventures
- Sit in on business calls to audit quality, ensure follow-through, and identify improvement opportunities
- Manage multi-channel communications and ensure proper routing to appropriate stakeholders
- Monitor project progress across teams and provide executive-level status updates and recommendations
- Handle executive calendar management, email coordination, and file organization with strategic prioritization
- Provide professional receptionist services including call screening, routing, and client relationship management
- Proactively identify process improvements and present solutions to streamline operations
- Represent the business professionally in all client-facing interactions and communications
- Coordinate between different business units to ensure seamless information flow and project alignment
- Support executive decision-making by preparing briefings, research, and actionable recommendations
Requirements:
- Communication Excellence: Exceptional command of the English language with the ability to communicate complex ideas with clarity and professional poise.
- Executive Support Experience: Proven track record in an Executive Assistant or Operations Coordinator role, specifically supporting entrepreneurs or multi-entity businesses.
- Critical Thinking: High emotional intelligence (EQ) with the ability to navigate sensitive stakeholder relationships and "spot" operational risks before they escalate.
- Technical Proficiency: Professional experience with project management tools, CRM systems, and executive scheduling software.
- Professionalism: Ability to represent the Client’s brand in high-stakes, client-facing interactions.
