Operations Executive Assistant

Schedule: 

  • Part-time (20+ hours per week) flexible during business hours | Eastern Time (Florida)

Job Overview: You’ll be the organizational backbone for a growing business portfolio, helping streamline operations while building the systems that will scale with rapid expansion. This isn’t just another admin role – you’ll have direct input on process improvement, work closely with business owners, and have a clear path to grow into a management position overseeing additional team members. You’ll start by bringing order to existing operations, then evolve into business development support and eventually team leadership.

Responsibilities:

  • Manage calendars and scheduling across multiple business units to optimize appointment booking and prevent conflicts
  • Handle inbox management, prioritizing communications and responding to routine inquiries professionally
  • Coordinate demo bookings and support business development pipeline activities
  • Build and document operational processes, templates, and systems for long-term scalability
  • Provide social media support, including message responses and basic content coordination
  • Lead initial cleanup and optimization of existing systems, inboxes, and calendar structures
  • Support CRM management and prospect tracking activities
  • Develop into SDR responsibilities including prospecting and outreach campaigns
  • Coordinate operations between different business units and streamline cross-company workflows
  • Grow into a management role with potential to oversee additional team members as business expands

Requirements:

  • 3+ years of administrative or executive assistant experience with proven ability to work independently
  • Excellent written English communication skills and professional phone presence
  • Strong organizational skills with experience in process documentation and system building
  • Experience with CRM systems and business development support
  • Long-term commitment mindset focused on growth and partnership rather than quick transitions
  • Proactive problem-solving approach with the ability to improve existing processes
  • Bonus if you’re bilingual in Spanish or Mandarin/Chinese for international business support
  • It helps if you have experience in merchant services, e-commerce, or B2B environments
