Appointment Setter (Agency’s Service)

Schedule: Preferred fixed routine: 10:00 AM – 2:00 PM GMT (Some flexibility available)

Total Weekly Hours: 20 hours

 

The Appointment Setter plays a critical role in driving pipeline growth by engaging leads, qualifying prospects, and booking high-quality appointments for the Sales and Partnerships teams.

As a fully remote team member, you will work independently, manage your daily workflow efficiently, and maintain consistent, professional communication across multiple digital channels. This role requires strong organization, confidence in outreach, and the ability to balance volume with quality.

 

Responsibilities

Lead Outreach & Communication

  • Conduct outbound calls, emails, and messages using the agency’s communication tools

  • Respond promptly and professionally to inbound inquiries during assigned hours

  • Maintain an empathetic, confident, and brand-aligned tone across all communication channels

  • Monitor online job boards and relevant channels for opportunities aligned with the agency’s services

 

Lead Qualification

  • Qualify prospects using structured criteria to assess fit for the agency

  • Identify prospect needs, timelines, budget considerations, and decision-makers

  • Tag, categorize, and prioritize leads based on qualification outcomes

 

Appointment Scheduling

  • Book qualified appointments directly into the sales team’s calendars using cloud-based scheduling tools

  • Send both automated and manual appointment reminders to improve show-up rates

 

CRM Management & Administrative Tasks

  • Update CRM records in real time with notes, call outcomes, and lead statuses

  • Ensure data accuracy and proper movement through the sales pipeline

  • Track and report daily and weekly performance metrics

 

Required Skills & Qualifications

  • Strong verbal and written communication skills suitable for remote work

  • Comfort handling a high volume of outbound calls and messages

  • Reliable high-speed internet connection and a quiet, professional workspace

  • Proficiency with remote tools such as Zoom, Slack, VoIP dialers, and CRM platforms

  • Highly self-motivated, disciplined, and able to work independently with minimal supervision

  • Ability to follow scripts while maintaining natural rapport and conversational flow

 

Preferred Qualifications

  • Previous experience in remote sales, appointment setting, or lead qualification

  • Hands-on experience with CRM platforms such as ClickUp, HubSpot, or Salesforce

  • Familiarity with virtual calendar management and scheduling systems

  • Understanding of agency services and client acquisition workflows
