Schedule (Philippine Time):

  • Tuesday: 8:00 AM – 5:00 PM (1 hr unpaid lunch) - Primary focus: Maintenance support & Messaging.

  • Wednesday: 8:00 AM – 5:00 PM (1 hr unpaid lunch) – Primary focus: Maintenance support & Adhocs.

  • Friday: 4:00 PM – 12:00 AM (No Break) – Primary focus: Guest Messaging & Weekend Prep.

  • Saturday: 9:00 AM – 5:00 PM (No Break) – Primary focus: Guest Messaging & Operational Support.

  • Sunday: 8:00 AM – 5:00 PM (1 hr unpaid lunch) – Primary focus: Messaging, Housekeeping Admin, & Week-in-Review.

  • Off Days: Monday & Thursday

 

About the Role:

We are seeking a highly organized and proactive Administrative Assistant to serve as the operational backbone for a dynamic property management team in the hospitality sector. This role is central to ensuring seamless coordination between guest services, housekeeping, and maintenance operations. You will be the critical link that keeps daily activities running smoothly, directly impacting guest satisfaction and property readiness. The ideal candidate is a master of logistics, excels in clear communication, and thrives in a fast-paced environment where no two days are the same.

This is a full-time, remote position with a schedule structured to provide essential coverage during peak operational hours, including weekends and evenings.

 

Key Responsibilities:

1. Guest Services & Communication Support:

  • Manage inbound and outbound guest communications via phone, email, and messaging platforms, providing timely and professional responses.

  • Assist in drafting and publishing public responses to guest reviews.

  • Handle various administrative ad-hoc tasks to support the property management team and enhance the guest journey.

2. Housekeeping & Turnover Coordination:

  • Administer all scheduling and communication with the cleaning team, ensuring clear dissemination of property-specific instructions.

  • Provide logistical support to ensure all properties are cleaned, stocked, and prepared for guest arrivals according to schedule.

  • Act as the primary administrative backup for housekeeping coordination to maintain continuous operational coverage.

3. Maintenance & Vendor Administration:

  • Provide dedicated administrative support to the Maintenance Manager as their right-hand person.

  • Assist with scheduling maintenance tasks, dispatching contractors, and tracking repair progress.

  • Act as a liaison between the Maintenance Manager and external vendors, ensuring clear communication and documentation.

 

Qualifications & Skills:

  • Proven Experience: 2+ years in an administrative, coordination, or virtual assistant role. Experience in hospitality, property management, travel, or a related service industry is a significant advantage.

  • Excellent Communication: Strong written and verbal English skills. Ability to communicate effectively with guests, team members, and external partners.

  • Administrative Excellence: Superior organizational and time-management skills. Proficiency with Google Workspace/Microsoft Office and the ability to learn new software quickly.

  • Detail-Oriented Problem Solver: A proactive approach to tasks, with a keen eye for detail and the ability to manage multiple priorities efficiently.

  • Adaptability & Reliability: Comfortable working a non-standard schedule, including weekends and evenings. Resilient and able to maintain a high standard of work during peak times.
