AI Integration Specialist

Overview: 
We are seeking an experienced AI & Automation Specialist to design, optimize, and automate workflows both internally  and externally for our clients across diverse industries. This role will drive the research, implementation, and scaling of AI-driven and no-code automation solutions to enhance efficiency and innovation.

You will map processes, implement automation tools, and provide training and support to team members and clients adopting new technology, playing a key role in defining Rumours’ expanding automation offerings.

Key Responsibilities:

Automation Development (Internal & Client-Facing)

  • Design and deploy end-to-end automations using platforms like Zapier, Make, HubSpot, Google Workspace, Closer, Stacker, Motion, Gavel, and other no-code/low-code tools.

  • Build client automations that streamline marketing, operations, onboarding, reporting, project management, communications, and data workflows.

  • Develop custom AI-powered workflows involving chatbots, assistants, prompt chains, and API integrations.

  • Integrate CRMs, project management systems, booking tools, marketing platforms, and AI applications into cohesive automated processes.

Process Mapping & Optimization

  • Audit client and internal workflows to identify inefficiencies and redesign processes for scalability and automation.

  • Document workflows thoroughly and develop Standard Operating Procedures (SOPs) to ensure consistency and maintainability.

  • Recommend automation tools based on functionality, cost, ease of integration, and client needs.

AI Research & Tool Discovery

  • Stay current on emerging AI platforms, automation software, and industry trends.

  • Test and evaluate new tools for potential use within Rumours or client environments.

  • Create internal reports on tool capabilities, limitations, pricing models, and ROI potential.

  • Lead pilot programs for experimental technologies, assessing feasibility for broader adoption.

Training, Support & Implementation

  • Train internal teams and clients on new AI workflows and automation systems.

  • Provide ongoing technical support and troubleshooting for scaling automations.

  • Develop onboarding materials, user guides, and training videos for smooth client handoffs.

  • Collaborate closely with project managers, strategists, and leadership to align automation initiatives with business goals.

 

Qualifications:

Required

  • Proven experience building no-code automations (Zapier, Make, HubSpot workflows, Notion automations, etc.).

  • Strong familiarity with modern AI platforms such as ChatGPT, Claude, Gemini, Midjourney, Runway, and Perplexity.

  • Experience mapping, analyzing, and redesigning workflows for teams or organizations.

  • Ability to conduct discovery sessions with clients and translate their needs into scalable automated systems.

  • Excellent problem-solving skills with the ability to simplify complex processes.

  • Clear and effective communication skills, especially when explaining technical concepts to non-technical audiences.

Nice to Have

  • Experience in or working with creative agencies, marketing, or operations teams.

  • Familiarity with workflow and productivity tools like Stacker, Closer, Motion, or Gavel.

  • Basic scripting knowledge (JavaScript, Python) is an advantage but not required.

  • Experience creating analytics dashboards or automated reporting systems.
