Job Description
You’ll be the administrative backbone of a thriving insurance agency, taking ownership of critical processes that keep revenue flowing and clients satisfied. This role offers the perfect blend of data management, client communication, and business operations – with clear growth potential as the agency continues to scale. You’ll work directly with the owner to streamline operations that currently have $10,000-15,000 in potential revenue waiting to be processed.
Responsibilities
- Manage daily policy sales tracking and database updates for 1-10 policies per day
- Submit reports to remove sold clients from lead databases to prevent duplicate outreach
- Monitor and update policy payment statuses, documenting payment successes and failures
- Track and categorize reasons for policy cancellations, payment errors, and client issues
- Generate comprehensive Google Sheets reports providing revenue and business persistency insights
- Manage email communications and alerts regarding client payment issues and policy updates
- Conduct follow-up phone calls with clients who have missed payments or experienced payment errors
- Maintain accurate records and documentation of all client interactions and policy statuses
- Support book of business management to ensure client retention and satisfaction
Requirements
- 2-5 years of experience in administrative or customer service roles
- Strong proficiency with Google Sheets and data management systems
- Excellent numerical and analytical skills with attention to detail
- Comfortable making outbound phone calls and communicating professionally with clients
- Reliable internet connection and professional phone communication skills
- Bonus if you have bookkeeping or accounting experience
- It helps if you’re familiar with CRM systems (Ringy and GoHighLevel experience a plus)
- You bring the ability to manage multiple tasks simultaneously in a fast-paced environment
