Overview
We are seeking a detail-oriented and professional Healthcare Administrative Assistant to join our growing clinic. This role serves as the “first face” of the practice, providing exceptional patient support via phone while managing daily administrative operations. You will work closely with the existing team to ensure seamless patient care and operational efficiency.
Job Highlights
Number of Paid Hours Per Week: 20 hours per week
Schedule: Monday – Friday, 10:00 AM – 2:00 PM Central Time
Work Arrangement: Work from home
Contract: Independent Contractor
Side Note:
Since this is a permanent work-from-home position and the arrangement is that of an Independent Contractor, the selected candidate must have their own computer and reliable internet connection. They will be responsible for their own benefits and taxes. Professional fees are paid on an hourly basis and the final rate will depend on performance during the application process.
Responsibilities

Patient Concierge: Manage high-volume incoming calls, providing compassionate and professional service to patients

Complex Scheduling: Proactively manage and optimize the clinic’s digital calendar system for efficient appointment flow

Billing Support: Execute basic invoicing, patient billing, and maintain financial documentation

Patient Continuity: Conduct follow-up communications, appointment reminders, and post-visit surveys

Administrative Oversight: Maintain and organize secure cloud-based document filing systems; perform research tasks to support clinic growth

Operational Support: Assist with general administrative tasks and support the social media manager as needed during downtime
Requirements

Exceptional verbal and written English communication skills with a professional phone manner

Proven experience in customer service, medical administration, or as a Virtual Assistant

Strong computer literacy; experience with EMR/EHR systems or online scheduling tools is a plus

Ability to work independently in a quiet, distraction-free remote environment

Highly organized, able to multitask under pressure, and willing to learn healthcare-specific protocols
