Executive Assistant

Executive Support

  • Manage and prioritize the Group GM’s inbox with a high level of confidentiality

  • Coordinate and maintain calendars, including scheduling and rescheduling appointments

  • Organize and prepare materials for internal and external meetings

  • Prepare correspondence, communications, and basic reports

  • Assist with document management, filing, and version tracking

  • Coordinate travel arrangements, itineraries, and accommodations

  • Provide meeting preparation support, including agendas and minutes

Project & Administrative Support

  • Track and provide updates on ongoing internal projects across the group

  • Support the preparation of documents such as policies, presentations, and proposals

  • Assist in maintaining organization across various administrative functions

Requirements

  • Minimum 2 years of experience as an Executive Assistant or Personal Assistant

  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook)

  • Experience preparing professional documents (policies, presentations, reports)

  • Excellent written and verbal communication skills

  • Strong attention to detail and ability to manage multiple priorities

  • High level of discretion, confidentiality, and professionalism

  • Ability to work independently, manage deadlines, and anticipate needs

  • Must be located within 2-hour time difference from Perth 

Preferred Qualities

 

  • Experience supporting executives who manage multiple business units

  • Strong organizational and problem-solving skills

  • Ability to adapt to fast-paced environments
