Spanish Bilingual Personal Injury Assistant

Schedule:

  • Monday to Thursday, 8:30 am - 05:00 pm; and Friday, 8:15 am - 03:00 pm (with 30-min. unpaid break)
  • Client Location: Los Gatos, CA


Job Description
The person for this role will work directly with the client's Personal Injury manager to address all matters related to Personal Injury patients, including but not limited to new patients, referrals, authorizations, and communications with attorneys and staff.
 
New Patients

  • Receive referral
  • Send screening questions/follow up
  • Create chart for patient (upload medical records/imaging reports if available)
  • Add patient to tracker
  • Call the patient to schedule initial appointment
  • Send appointment details to the case manager (request an interpreter if necessary)
  • Send confirmation email to patient with link for New Patient forms
  • If after 3 attempts we cannot reach the patient, contact the case manager to provide them with an update and offer to schedule the appointment directly with them

Follow up

  • Schedule Physical injury patients for a follow up/MRI review
  • If the patient cannot be reached after 1 attempt, add to waitlist

Emails

  • If a case manager is requesting billing/medical records, reply with the correct email

 
Other tasks

  • Approvals for Ancillary services IN HOUSE, communication with department and Attorney's office, adding alerts of the authorized request
  • Email management
  • Order Management: requesting, follow-up on orders
  • Obtaining approvals
  • Communicating with departments with approved services
  • Creating referrals for Ancillary, specialist services, and out-of-office referrals
  • Sending MRI orders/scripts with notes and demos; via email/fax
  • Orders tracker updates/Tebra Alerts
  • Uploading approvals to the drive, not in the chart
  • Liens/tracking in Jot Forms
  • Communication between Attorney office regarding treatment updates, DC PRN; no recommendations
  • Sending billing dept info for billing and report requests
  • Forward lien reductions to other staff.
  • Spanish translation
    • Allied; as needed
    • Trinity; scheduling for procedures
      • Send an email to the patient and attorney with the procedure appointment.
  • Scheduling: as needed, Nurse Practitioner Follow Up
  • Deposition scheduling

Background:

  • Creating and maintaining spreadsheets
  • Appointment scheduling


Requirements
APPLICANTS ARE REQUIRED TO COMPLETE AN ASSESSMENT

  • 2 yrs experience working with law firms
  • 2 years experience with EHR systems:  scheduling
  • 5 yrs office experience
  • Very clear spoken in English and Spanish
  • Must have intermediate knowledge of Microsoft Office 365: Word, Excel, Teams, Outlook, phone systems (placing calls on hold and managing 2-3 calls at time)
  • Must be reliable, self-starter, mature, empathetic, and have excellent customer service skills
  • Must have an extra computer monitor and Adobe access
  • Great listening abilities
  • Strong organizational and time management abilities
  • Ability to work independently and remotely
  • Understand the client's policies and remember how to implement them.
