Bank Reconciliation Assistant

We are seeking a detail-oriented, proactive, and tech-savvy professional to handle data entry, inventory tracking, and complex account reconciliations. The ideal candidate possesses strong core accounting knowledge, can work independently with minimal supervision, and is eager to leverage AI tools and automation to improve processes.

Schedule:

  • Mondays to Fridays, 12:00 to 8:00 pm (Eastern Time-Canada, 40 hours per week)

  • Note: While these are the preferred working hours, the schedule may be subject to minor changes. Final working hours will be confirmed during the interview process.

Key Responsibilities:

  • Enter sales, inventory, and financial data accurately. Update customer and vendor information, process orders and invoices, and maintain product catalogs and pricing data.
  • Perform bank and account reconciliations accurately and efficiently across various platforms and systems.
  • Apply solid accounting judgment to understand and manage accruals and reversals. Identify and resolve data discrepancies or inconsistencies.
  • Maintain high data integrity by following established procedures and guidelines, ensuring information is up-to-date and readily available for analysis.
  • Demonstrate curiosity and initiative in identifying opportunities for workflow automation and process improvement.
  • Collaborate with team members to understand data entry requirements. Proactively follow up, close the loop, and see tasks through to completion.

Job Requirements:

  • Experience & Technical Skills:
    • Proven experience in bank and account reconciliation roles.
    • Strong core accounting knowledge (understanding of debits/credits, accruals, and reversals).
    • Proficiency in using computers and data entry software/platforms.
    • Experience using NetSuite or another ERP system is a strong asset.
    • Experience utilizing AI tools (e.g., Claude, ChatGPT) and modern expense management/automation platforms.

    • High Attention to Detail: Exceptionally organized with an ability to maintain strict accuracy.
    • Ability to work independently, handle reconciliations with minimal supervision, and apply sound professional judgment.
    • Learns quickly and easily adapts to new processes, technologies, and software.
    • Communicates clearly and professionally. Comfortable asking questions, clarifying expectations, and keeping the team updated.
    • Time Management: Excellent organizational and time management skills to meet daily deadlines.
