Our client is looking for a highly capable Senior GoHighLevel (GHL) & Operations Specialist to play a key role in supporting daily business operations while building smarter systems and more efficient processes. This is not a traditional administrative role. You will be responsible for supporting business operations, client and provider communications, roster management, sales administration, and the management of their central GoHighLevel platform, while also helping to create and optimize AI-driven workflows and automations. The ideal candidate is a highly organized all-rounder with strong technical skills, extensive GHL experience, and a passion for continuous improvement.

Monday - Friday, 9:00 AM – 6:00 PM Melbourne, VIC Time (40 hours per week) Includes a 1-hour unpaid break.
Responsibilities
- Operations & Administrative Support: Manage daily administrative tasks with accuracy; perform high-volume data entry, handle inbound and outbound phone calls, manage professional email correspondence, and prepare client quotations and proposals.
- Roster & Workforce Management: Manage staff rosters and scheduling; coordinate shift changes, monitor staff availability, and ensure all roster updates are communicated accurately and promptly to maintain efficient workflows.
- Client & Sales Support: Assist with sales administration and customer follow-ups; manage incoming leads through GoHighLevel, and deliver a high standard of customer service and relationship management.
- GoHighLevel & Automation Management: Manage and maintain the GoHighLevel CRM platform; build, update, and optimize back-end workflows, support communication campaigns, and troubleshoot existing automations.
- AI & Systems Improvement: Utilize advanced AI platforms such as ChatGPT, Claude, and Manus to improve efficiency; create AI-driven workflows, design operational automations, and enhance business systems.
Requirements
- Professional Experience: Minimum 5 years of proven administrative or operations experience.
- GoHighLevel Expertise: Advanced, deep working knowledge of the GoHighLevel (GHL) platform.
- Technical Aptitude: Strong experience building or managing business automations, digital workflows, and utilizing modern AI platforms (ChatGPT, Claude, Manus, or similar tools).
- Core Office Literacy: Strong background handling high-volume data entry, professional phone support, and email management.
- Organizational Skills: Excellent multitasking, time management, and organizational skills with high attention to detail and accuracy.
- Linguistic Standard: Excellent written and verbal English communication skills suitable for managing client, partner, and internal team relationships.
