Job Overview 

We are seeking a dedicated Healthcare Receptionist / Logistics Coordinator to manage incoming calls and provide exceptional customer service for a medical transportation company. This role involves scheduling non-emergency medical transport, processing payments, and handling customer inquiries using modern transportation management software. The position offers flexibility to support additional business projects during downtime, maximizing productivity while ensuring all patient transport needs are met promptly.

Client Overview

Our client is a well-established non-emergency medical transportation company with 10 years of experience serving a tri-state area. They specialize in stretcher and wheelchair transportation services, with a particular focus on bariatric patients and basic life support (BLS) ambulance services. The company operates a fleet of 8-9 specialized vehicles equipped with power stretchers and bariatric capabilities up to 1,200 pounds.

Schedule:

  • Mon-Fri 8:00 AM - 5:00 PM CST Client Timezone: Central Standard Time (CST)

Responsibilities

  • Answer incoming calls and provide professional customer service to patients, healthcare facilities, and brokers
  • Schedule non-emergency medical transportation appointments using the company's transportation management software
  • Process payments over the phone for private pay customers who prefer not to use online payment links
  • Handle real-time customer service requests such as coordinating driver locations and addressing patient concerns
  • Assist with administrative tasks and support additional business projects during periods of lower call volume
  • Communicate with field managers and drivers to ensure smooth coordination of transportation services
  • Maintain accurate records and documentation in the transportation management system

Must-Have Requirements

  • Strong customer service background with excellent communication skills
  • Experience in healthcare administration or medical office environments
  • Proficiency with scheduling software and ability to learn new technology platforms quickly
  • Ability to handle payment processing and sensitive customer information with discretion
  • Strong organizational skills and ability to manage multiple tasks simultaneously

Nice-to-Have Requirements

  • Previous experience in medical transportation, logistics coordination, or dispatch operations
  • Familiarity with healthcare billing processes, Medicaid, Medicare, or insurance verification
  • HIPAA compliance knowledge or certification
  • Experience working with dialysis, chemotherapy, or other routine medical appointment scheduling
