Work Schedule: Monday – Friday, 9:00 AM – 5:30 PM Victoria Time (7:00 AM to 3:30 AM MNL time) with a 30-minute unpaid break

The Training Administration Officer is responsible for the efficient and effective administration of training services, ensuring compliance with all regulatory requirements. This role is pivotal in nurturing and guiding students through their educational journey, with a focus on ensuring they complete their studies successfully.
Student Nurturing

Understand each student’s profile and motivations.

Follow workflow steps to ensure consistent student engagement, especially in the first 0-6 weeks of their studies.

Attend class sessions via Zoom to provide support when needed.

Ensure students are comfortable with and can navigate the LMS, offering support where necessary.

Monitor student progress, provide support for delayed assessments, and escalate issues as needed.
Administrative Tasks

Review and ensure the accuracy and compliance of all student enrolment forms.

Verify and create Unique Student Identifiers (USI) for students.
-
Manage data within VETtrak and integrate it with the CRM, ensuring accurate record-keeping.

Create and maintain electronic student files according to established procedures.
-
Prepare and issue training plans, attendance registers, and other required documentation before class commencement.

Set up classes on the LMS, link students and trainers, and manage login details for the LMS/Zoom.

Monitor and report on student attendance, ensuring compliance with workplace policies.
-
Process student assessments and ensure all documentation meets compliance standards.

Prepare and issue student certificates, statements of attainment, and congratulation letters as required.
System Management

Register all enrollments in VETtrak, ensuring data accuracy.

Issue invoices and manage student attendance records in VETtrak.
-
Process student withdrawals and extensions in compliance with regulations.
-
Provide training and support for students and trainers using the eSkilled LMS.
-
Archive student files electronically upon course completion.
Compliance
-
Ensure all training activities comply with the company’s policies and procedures, ASQA standards, and state-based funding contracts.

Maintain up-to-date and audit-ready records in VETtrak and LMS.
Requirements
-
Education: A tertiary qualification is desirable but not required.
-
Experience:
-
Background in training/education administration with a focus on compliance.
-
Experience or knowledge of Business Services and Building & Construction sectors.

Experience in working with Registered Training Organizations Environment
-
Proficiency in SMS (VETtrak preferred), LMS, and Zoho CRM.
