Job Description:

The project manager will organize and manage the various parts of the project to ensure its success and timely completion. This includes scheduling, assigning, and monitoring daily tasks and communicating with internal staff and external partners to ensure the project runs smoothly. The project manager will provide project reports and regular updates for Management. Staying on budget and on time and customer satisfaction are crucial part of successful project coordinating.

Responsibilities
- Manages seamless and successful coordination of all project deliverables with the different teams such as Scheduling, Accounting, Technicians and Outside Contractors.
- Organizes project logistics, schedules client meetings, and facilitates regular communication throughout the project life cycle.
- Effectively managing project management documents such as the budget, schedule of work, scope of work and TSSA applications.
- Monitors the daily progress of projects and provides detailed updates and reports to managers or other stakeholders.
- Keeps a cost saving lens and creatively looks for ways to keep projects on budget.
- Proactively liaises with customers on changes to original project cost.
- Executes a variety of project management administrative tasks such as billing and purchasing:
- Ensures accurate invoicing on projects and promptly advises Accounting when a job is finished and is ready to invoice.
- Creates POs for all purchases, sync POs to QuickBooks and accurately update statuses in Service Fusion our Field Service Management Software.
- Identifies best prices for job parts/supplies, orders them on time.
- Provides detailed and comprehensive notes in Service Fusion on project status.
- Ensures team members have the job supplies and resources they need to complete their assigned tasks on time and within their budget limits.
- Minimizes errors in estimates and ordering of incorrect parts.
- Effectively prepares estimates, and submits to clients in a timely manner.
- Estimates are provided to Customers by diligently working through the Company’s established Follow Up Process. Thoroughly documents Follow Up Process steps taken in SF.
Requirements
- Bachelor’s degree in business administration, management or a related field
- Project management certifications: Certified Associate in Project Management (CAPM), project management professional (PMP) or similar is an asset
- Proficiency with Microsoft Office Suite
- At least 7 years of experience in project coordination, project management roles
