Operations and Community Specialist
Work Schedule:
Monday to Friday 9:00am to 6:00pm Tasmania Australia Time (6:00 AM – 3:00 PM PHT) with 1 hour unpaid lunch
Position Overview
As our Operations and Community Specialist, you’ll support operational excellence and foster a vibrant community of builders and industry experts. This role focuses on process optimization, community engagement, and knowledge management to deliver exceptional client experiences.
Core Responsibilities

Knowledge Management & Systems (30%)
- Develop and maintain a searchable knowledge base for company resources.
- Create and refine standard operating procedures (SOPs).
- Manage the digital asset library for easy access.
- Coordinate with content teams to incorporate community insights.

Community Engagement & Events (30%)
- Coordinate weekly Monday Mastermind calls (95% attendance target).
- Repurpose content from events (5 pieces per session minimum).
- Plan quarterly in-person events and an annual international trip.
- Drive engagement on the AMK platform and manage client profiles.
- Coordinate weekly Monday Mastermind calls (95% attendance target).

- Oversee client onboarding with a 48-hour completion target.
- Manage expert onboarding and course production workflows.
- Address client support and technical assistance.
- Implement AI solutions for content and automation.
- Track key performance metrics.

Financial Management (15%)
- Oversee Stripe payments and manage subscriptions.
- Process payment adjustments and assist with Xero reconciliations.
- Ensure zero overdue invoices beyond 7 days and support profit distribution.

Key Performance Indicators
- 100% client onboarding form completion within 48 hours
- 95% attendance for Monday Mastermind calls
- 40% reduction in operational inefficiencies by Q1 2025
- Successful onboarding of 2 new experts per quarter
- 100% accuracy in payment processing and reconciliation
Requirements
- Experience in operations management, preferably in SaaS or education
- Proficiency in project management and knowledge management systems
- Strong written and verbal communication skills
- Experience with community management and online moderation
- Proficiency in Stripe, Xero, ClickUp, and Google Workspace
Preferred Qualifications
- Experience in construction or trades
- Familiarity with learning management systems
- Knowledge of AI content tools
- Event planning experience
- Understanding of profit-first financial principles
- Skills in video editing and content repurposing
