Job Title: Executive Assistant
Job Summary: We are looking for a proactive and highly organized Executive Assistant to support both personal and professional functions for executive leadership. This full-time, remote position requires exceptional time management, communication, and problem-solving skills to manage schedules, handle expenses, coordinate events, organize documents, and assist with various administrative needs. The ideal candidate is detail-oriented, tech-savvy, and able to multitask in a fast-paced environment.
Key Responsibilities:

Calendar and Scheduling Management: Organize and prioritize the executive’s calendar for both personal and professional commitments, addressing conflicts and ensuring seamless scheduling.

Expense Tracking: Oversee digital expense reports, monitor budgets, and handle reimbursements for personal and business expenditures.

Event Coordination: Plan logistics for online and personal events, managing RSVPs and setting up virtual meetings through email or phone.

Document and File Organization: Create, format, and maintain digital documents and summaries, managing cloud-based folders and archives to ensure easy access to both personal and professional files.

Vendor Coordination: Remotely liaise with vendors for personal and household services, schedule virtual consultations, and manage subscriptions.

Travel Planning: Arrange and manage travel itineraries, including accommodations, transportation, and required travel documentation for smooth travel experiences.

Online Research: Conduct targeted research on specified topics and consolidate information into reports or summaries for quick reference.
Requirements:
- Experience: 3+ years of experience in an executive assistant or similar administrative role, preferably supporting senior leadership.
- Education: Bachelor’s degree preferred, but relevant experience will be considered.
- Technical Skills: Proficiency in Microsoft Office Suite, Google Workspace, and cloud-based document management systems (e.g., Dropbox, Google Drive).
- Communication Skills: Excellent written and verbal communication skills, with the ability to manage correspondence professionally.
- Organizational Skills: Strong attention to detail with the ability to multitask and prioritize in a dynamic environment.
- Problem-Solving: Resourceful with a proactive approach to handling challenges independently.
- Availability: Full-time commitment, 9:00 am to 6:00 pm GMT +4, 5 days a week (Sunday off and one additional weekday off of the Executive Assistant’s choice).
Working Hours: Full-time, 9:00 am to 6:00 pm GMT +4, 5 days a week. Includes a one-hour unpaid break daily.
