Position Overview
Our client is seeking a detail-oriented and organized Accounting Assistant/Bookkeeper to support their financial operations. The ideal candidate will have experience with QuickBooks Online and Microsoft Excel and will be responsible for ensuring accurate and timely financial record-keeping and
compliance with company policies and procedures. This position plays a critical role in the management of accounts, vendor interactions, and project-specific financial tracking.
Key Responsibilities
Transaction Classification:
o Use QuickBooks Online to classify transactions accurately to the correct chart of accounts.
Customer and Vendor Data Management:
o Update historical customer information to ensure up to date and missing information is captured
o Consistently maintain comprehensive customer and vendor information in QuickBooks Online.
o Ensure Customer and Sub-customer relationships are accurate
Project and Job Costing:
o Create and manage projects in QuickBooks for job costing purposes.
o Log all project activities, including labor costs from Tsheets, all expenses, and parts.
o Allocate labor to manufacture parts are captured for accurate job costing.
Vendor Invoice Management:
o Upload vendor invoices into QuickBooks Online.
o Track accounts payables to ensure timely and accurate payments.
o Track and manage early payment discounts
Purchase Tracking and Analysis:
o Track parts purchased from vendors, including detailed cost analysis.
o Evaluate volume purchase benefits and monitor price changes over time.
Vendor Interaction:
o Communicate with vendors to obtain required documentation for doing business with the client and ensure account is setup in QuickBooks Online
o Monitor and request updated documentation on a yearly basis, including W-9 forms and certificates of insurance.
Customer Onboarding and Compliance:
o Manage and complete customer supplier onboarding requirements.
o Handle credit application requests and sales tax exemption forms.
One-Off Transactions:
o Log one-off checks and transactions into QuickBooks Online accurately.
Requirements
Qualifications
Technical Skills:
o Proficiency in QuickBooks Online is required.
o Advanced knowledge of Microsoft Excel for data analysis and reporting.
Experience:
o Prior experience in bookkeeping and accounting
o Familiarity with job costing/project tracking required.
Attributes:
o Strong organizational skills with attention to detail.
o Excellent communication skills for interacting with customers, vendors, and team members.
o Ability to manage multiple tasks and meet deadlines effectively.
