As an Admin Assistant in this fast-paced entertainment PR environment, you’ll be at the heart of client relations and agency operations. You’ll manage crucial administrative tasks, coordinate high-profile events, and support senior team members in delivering exceptional service to global entertainment brands. This role offers a unique opportunity to develop your skills in project management, client communication, and entertainment industry practices while working with a diverse portfolio of exciting clients.
- Expertly manage calendars, diaries, and inboxes for key team members
- Coordinate travel arrangements for executives and clients
- Craft and update comprehensive weekly and monthly client reports
- Assist in project management, including task tracking and team updates
- Create and maintain event calendars for high-profile client activities
- Handle VIP guest list management for exclusive industry events
- Maintain and update CRM system with critical client information
- Prepare detailed agendas for client Work in Progress (WIP) meetings
- Organize and manage Google folders and document templates
- Conduct in-depth research on industry trends and potential clients
- Engage in professional client communications via email, Slack, and Zoom
- Exceptional written and verbal English communication skills
- Proficiency in digital collaboration tools (Slack, Zoom, Google Workspace)
- Proficiency with Microsoft Office suite
- Strong organizational abilities and meticulous attention to detail
- Self-motivated with the ability to work independently and collaboratively
- Adaptability to changing priorities in a dynamic work environment
- Basic understanding of PR and communications industry (preferred)
- Flexibility to occasionally work outside standard hours for global client needs
- Confidence in client-facing roles, presenting a professional demeanor
- Ability to maintain strict confidentiality with sensitive information
