Job Description
As our Accounting Assistant, you’ll be at the forefront of our financial operations, working with QuickBooks to manage project finances, ensure accurate cost tracking, and contribute to our expansion across the western U.S. You’ll have the opportunity to set up and refine our chart of accounts, implement cost coding systems, and manage budgets for diverse construction projects. This role offers a unique blend of accounting expertise and construction industry knowledge, allowing you to gain valuable experience while working flexibly with a forward-thinking team. You’ll be instrumental in producing financial reports, handling invoices, and ensuring the smooth financial operation of our growing business.
Responsibilities
- Establish and maintain the chart of accounts in QuickBooks, tailoring it to our construction-specific needs
- Develop and implement cost coding systems for job costs and overhead expenses
- Create and track budgets for individual construction projects and company overhead
- Process incoming and outgoing invoices efficiently
- Manage subcontractor and customer contracts, monitoring payments and outstanding balances
- Perform monthly bank and credit card reconciliations
- Assist with payroll entries, focusing on cost coding job supervisors to direct jobs
- Generate comprehensive financial reports, including budget vs. actual analyses
- Prepare change orders and contracts based on project data sheets
- Produce detailed profitability reports for ongoing and completed construction projects
Requirements
- Proven experience with QuickBooks, preferably in a construction industry setting
- Solid understanding of accounting principles and practices
- Familiarity with construction industry terminology and processes
- Exceptional attention to detail and strong organizational skills
- Ability to work independently and manage time effectively in a remote environment
- Excellent written and verbal communication skills in English
- Proficiency in Microsoft Excel and other relevant software tools
- Adaptability to work across different time zones and collaborate with U.S.-based team members
- Eagerness to grow with the company and contribute to process improvements
- Degree in Accounting, Finance, or related field preferred, but equivalent experience considered
